The WpRentals theme includes a complete notification system for users, site administrators, and property owners. Emails can be customized in both design and content, and several notification types are available depending on the booking or messaging action.

Overview of notifications in WpRentals

WpRentals sends notifications for booking requests, invoices, booking confirmations, trip details, cancellations, and contact messages. Some notifications are shown on screen, some are sent by email, and some are also saved inside the user dashboard for tracking.

Email design, sender controls, and email content

You can manage how emails look and who sends them from the theme settings. You can also edit the default content of each email notification.

Booking-related notifications

Booking Request Submission

  • User Confirmation Message – When a user submits a booking request, they receive an on-screen confirmation message: “Booking request sent. Please wait for owner’s confirmation!”
  • Email to Property Owner – The owner receives a notification about the new booking request and is invited to review it from the Bookings page, issue an invoice, or reject it.

Invoice Notifications

  • Sending an Invoice – The user receives an email after an invoice is generated for the booking request. The email explains that a deposit is required to confirm the booking and points the user to the My Reservations page.
  • Payment Confirmation – After payment is completed, the user receives a booking confirmation email and can review the reservation in the My Reservations page.

Invoice Payment and Booking Confirmation Notifications

  • User Who Paid the Invoice – After the invoice is paid, the booking request user receives a confirmation email that the booking has been confirmed.
  • Property Owner – The owner also receives an email informing them that the booking was confirmed.

Trip Details email

After the booking is confirmed, the guest receives a Trip Details email with relevant information about the reservation.

The Trip Details notification can be controlled from Theme Options > Email Management > Trip Details Email.

Cancelled booking notifications

  • Confirmed Booking Cancellation – The guest is notified if the property owner cancels a confirmed booking. The booking request is removed from both the guest account and the owner account.
  • Unconfirmed Booking Cancellation
    • If the owner cancels, the user receives an email and the request is removed from their account.
    • If the user cancels, the owner receives a notification.

Contact message notifications

  • User Sending a Message – The sender does not receive an email copy by default, but logged-in users can check replies in their inbox. Non-logged-in users can receive replies by email if they provide an email address.
  • Admin Settings – GDPR and mobile phone fields can be enabled in the contact form settings.
  • Property Owner Notification – Owners receive an email notification when a new message is sent through the contact form.

Inbox messages and who can access them

Messages sent through the theme are delivered to the user email address, whether the recipient is an owner or renter. In addition, messages are saved in User Dashboard > Inbox so users and administrators can track communication.

Administrators can also view all messages in the WordPress backend under the area for listings, bookings, and related management options.

How the Contact the Owner form works

Logged-in users

  • The form includes check-in and check-out dates, number of guests, and a message field.

When a logged-in user receives a message through the WpRentals theme, the recipient gets an email notification and can also view the message in the User Dashboard.

  • Email Notification to Message Recipient – The recipient is informed that a new message is available on the website.
  • Message Visibility – The recipient can review and manage the message from the dashboard inbox.

Non-logged-in users

  • The form includes name, email address if provided, check-in and check-out dates, number of guests, message, and optionally a phone number.

  • The property owner receives the message in their profile email inbox only.

Enable GDPR and Mobile in the contact form

  • Go to Theme Options > Contact Form Settings.
  • Enable the GDPR Checkbox and Mobile Number options if needed.

If you enable GDPR, you must create a dedicated GDPR page using the GDPR Terms page template.

Go to Pages > Add New and create a page using that template.

Additional email settings

  • Duplicate Emails – You can set a duplicate email address in Theme Options > Email Management > Duplicate Email to receive copies of all theme emails.

  • Editing Email Content – You can customize the default email text in Theme Options > Email Management > Email Content. For more details, see Email Management.
